Italy Legal PA and Receptionist Roles
For our offices in Rome and Milan, we are looking for enthusiastic, detail-oriented, and self-motivated Receptionists and Legal PAs.
Key activities/responsibilities
Legal PA:
- Directly support Partners, Counsels, and other senior legal professionals.
- Manage extensive calendars and diaries.
- Be the first point of contact for clients, internal staff, and other PAs.
- Monitor and respond to email and telephone inquiries.
- Participate in marketing and business development activities.
- Establish and maintain client relationships.
- Draft correspondence, legal documentation, forms, and contracts.
- Conduct legal research.
- Perform general secretarial and administrative tasks.
Receptionist:
- Be the first point of contact for visitors, greeting and welcoming them warmly.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Receive, sort, and distribute daily post and deliveries.
- Organize trips and manage expense reports and reimbursements.
- Order front office supplies and keep inventory of stock.
- Provide administrative support.
- Book travel, meetings, and accommodation.
- Support in organizing office events, appearances, and engagements.
- Handle any external commissions (mail, catering, etc.).
Skills and experience required for both roles:
- Experience working within a professional services firm.
- Excellent knowledge of written and spoken English.
- Proficiency in PC and main software: Outlook, Word, Excel.

- Outstanding written and oral communication skills.
- Excellent organizational skills, including the ability to prioritize workload.

- Ability to manage and prioritize multiple projects with tight deadlines.

- RAL: To be defined according to the candidate’s experience.
- Hours: Full-time position (shifts from 8:30 to 19:00).
