Accounts Clerk – Accounts department
Background
The accounts clerk will be responsible for ensuring the smooth operation in the accounting function across the Hanoi, Japan and Bangkok office. This role report directly to the Accounts Manager.
Key Responsibilities
- manage the billing and revenue generation process including WIP management for partners in the Hanoi, Japan and part of Bangkok office. This includes handling write-offs and posting bills;
- assist the Accounts Manager in issuing detailed WIP reports to partners and fee earners;
- correct WIP valuations and update WIP comment in system for Japan and Hanoi office;
- liaise with partners and fee earners regarding unpaid bills, providing an overview of matter management and ensuring all bills are timely follow up for Japan office;
- provide timely and accurate feedback on WIP and proposed billings in Japan and Hanoi office to the Accounts Manager and the London based Revenue Management team;
- ensure all time entries and disbursements are recorded accurately and timely for Japan and Hanoi office;
- manage and apply special rates including time/disbursement transfer for the three offices;
- record all accounting entries in the accounting system for Hanoi and part of Japan office;
- ensure bills are prepared in accordance with client agreements and the firm processes;
- set up new matters in accordance with client agreements (rates, fee caps, etc.);
- check bills before they are sent to the client;
- assist with e-billing as required; and
- perform other and ad hoc tasks as assigned by the Accounts Manager
Skills, Knowledge and Experience
- strong organisational skills with the ability to prioritize tasks effectively;
- proficiency in Microsoft Office applications (Excel, Word, etc.);
- experience and knowledge of legal billing systems, preferably Aderant;
- ability to take initiative and manage workload independently;
- strong problem-solving skills and accountability;
- high attention to detail and numerical accuracy;
- ability to work calmly under pressure and meet challenging deadlines;
- excellent written and verbal communication skills;
- flexible and adaptable approach to work; and
- willingness to work beyond core hours when required.
