Business Development Assistant, Madrid

The role

The role will require a self-motivated person who is capable of supporting a busy and well-respected Business Development & Communications team in Madrid in the assistance and management of existing client relationships and the development of new business opportunities.  This will involve providing high quality support across events, external and internal communications, social media, legal directories and awards.

Key Activities

Working proactively with BD team members and other key stakeholders across the firm’s sectors and services including:

Marketing:
  • ensuring that marketing materials, including web content and other collateral are kept up-to-date and easily accessible;
  • ensuring that all templates and marketing materials for the Madrid office are organised and available; and
  • assisting in raising the profile of the partners/practice via various communication channels including social media and the website.
 Events:
  • supporting the full life cycle of strategic internal and external events for Spain. This includes invitation preparation and distribution, mailing list and RSVP management, venue, and logistics organisation (including on-site when required) and completion of post event analysis/return on investment;
  • championing the use of our CRM system (InterAction) including ensuring all relevant information is in the system, particularly in relation to client events; and
  • assisting with the coordination of events (including webinars) and conference attendance.
Pitches:
  • researching and drafting client and prospect information packs. Providing support in researching, drafting and coordinating proposals and credential statements through our PitchPerfect system in Word and Powerpoint; and
  • updating the pitch and deals databases, ensuring information is captured and up to date, following up with partners as necessary.
Directories and Awards:
  • assisting with directories, league table and award submissions in Spain; and
  • working with BD & Communications colleagues to ensure all deals and experience from directory and award submissions are captured and updated on deals database.
Communications:
  • drafting potential posts for the Madrid office for social media channels;
  • liaising with the BD team/WFW Madrid to obtain content for posts;
  • reviewing the Linkedin profiles of WFW Madrid; and
  • identifying and drafting stories for an internal audience which promote the business and culture of the firm.
Additional work:
  • understanding the importance of budgets and assisting in the developments of Request for Budget and Return on Investment forms from an assistant perspective;
  • championing the use of our CRM system including ensuring all relevant information is in the system; and
  • involvement and support in firmwide projects as appropriate.

Required

  • understands and demonstrates WFW’s core values of respect, sharing, communication and integrity;
  • excellent written communication and editing skills; able to write in English and Spanish accurately, concisely, and persuasively;
  • organised, with an ability to prioritise and a tenacity to see projects and tasks through to completion;
  • a positive role model who meets new challenges with a constructive and open mind;
  • shows enthusiasm for new opportunities and ideas;
  • regarded as a team player who is confident sharing information across a broader team;
  • able to work to tight deadlines and has good attention to detail;
  • strong knowledge of Outlook, Word, PowerPoint and Excel is essential;
  • willingness to learn, follow instructions carefully and has the confidence to ask questions when uncertain; and
  • plays a full part in making WFW a firm they would recommend to others to work in, and respects diversity and acts fairly and inclusively.

Desired

  • a degree in marketing or a similar discipline;
  • if the above is not applicable, 1-2 years’ experience in a related field, preferably in a professional services environment; and
  • working knowledge of a CRM system (InterAction) and e-marketing software (Vuture).
